VR WORLD – TERMS & CONDITIONS OF BOOKING AND PARTICIPATION
1. Definitions
“VR World”, “we”, “our”, and “us” refer to VR World and its employees, directors, contractors, agents, representatives, and affiliates.
“Activities” means all virtual reality experiences, free-roam VR experiences, motion simulators, gaming stations, events, competitions, parties, and any other attractions provided by VR World.
“Participant” means any person attending, observing, booking, or taking part in Activities.
2. Bookings
2.1 All bookings are subject to availability.
2.2 A booking is only confirmed when payment or any required deposit has been received and confirmation has been issued.
2.3 Customers are responsible for ensuring booking details are accurate.
2.4 VR World reserves the right to amend, postpone, substitute, or cancel bookings due to technical issues, operational requirements, staffing issues, safety concerns, or circumstances beyond our reasonable control.
3. Payments
3.1 Full payment may be required at the time of booking.
3.2 Prices may be amended at any time without notice. Confirmed bookings will not be affected.
3.3 Payments are non-transferable except at the discretion of management.
3.4 Gift vouchers, promotional codes, discounts, memberships, and offers cannot be exchanged for cash.
4. Cancellation & Refund Policy
4.1 Customer cancellations made more than 48 hours before the booking start time may be rescheduled or refunded at management discretion.
4.2 Cancellations made within 48 hours of the booking start time are non-refundable.
4.3 Failure to attend a booking (“No Show”) will result in the booking being forfeited without refund.
4.4 Where VR World cancels a booking, customers will be offered either a suitable alternative booking or a refund.
4.5 Refunds will not be issued where participation is refused due to failure to meet safety requirements, suitability requirements, medical restrictions, age restrictions, footwear requirements, intoxication, or failure to comply with staff instructions.
5. Arrival Requirements
5.1 Participants should arrive at least 15 minutes before their scheduled booking.
5.2 Late arrivals may result in reduced play time.
5.3 Where a late arrival affects operational schedules, VR World reserves the right to shorten or cancel the session without refund.
6. Age Restrictions
6.1 Minimum age requirements vary between Activities.
6.2 Participants under 16 years of age must have a waiver completed by a parent or legal guardian.
6.3 Proof of age may be requested at any time.
7. Health & Safety
7.1 Participants must comply with all safety briefings and staff instructions.
7.2 Participation is prohibited while under the influence of alcohol, illegal substances, or any medication that may impair judgement, balance, or physical ability.
7.3 Participants must immediately notify staff if they feel unwell, dizzy, nauseous, injured, or otherwise unable to continue safely.
7.4 VR World reserves the right to refuse or terminate participation where safety concerns arise.
8. Suitability for Equipment Use
8.1 VR World reserves the right to refuse access to any Activity where a Participant does not meet the suitability requirements for safe operation.
8.2 Suitability requirements may include minimum or maximum height restrictions, weight restrictions, age restrictions, physical capability requirements, medical considerations, equipment compatibility requirements, or any other factor relevant to safe operation.
8.3 Staff may assess suitability before or during participation.
8.4 Staff decisions regarding suitability and safety are final.
8.5 No refund shall be payable where participation is refused due to failure to meet suitability requirements.
9. Equipment Responsibility & Damage
9.1 All equipment remains the property of VR World.
9.2 Participants must handle all equipment responsibly and only as instructed.
9.3 Participants may be held financially responsible for damage, repair costs, replacement costs, loss of equipment, or associated downtime resulting from:
- Intentional misuse
- Reckless behaviour
- Negligence
- Failure to follow instructions
- Deliberate interference with equipment
9.4 This includes, but is not limited to:
- VR headsets
- Controllers
- Tracking systems
- Simulators
- Motion platforms
- Computers
- Displays
- Cabling
- Fixtures
- Furniture
- Infrastructure
10. Clothing & Footwear
10.1 Suitable clothing must be worn at all times.
10.2 VR World grip socks are mandatory for designated activities including free-roam VR and simulator attractions.
10.3 Participants who fail to comply with footwear requirements may be refused participation without refund.
11. Conduct
Participants must not:
- Use abusive, threatening, intimidating, or aggressive behaviour
- Damage property
- Harass staff or customers
- Interfere with equipment
- Enter restricted areas
- Run, push, or behave unsafely
- Disrupt other guests’ experiences
VR World reserves the right to remove any Participant whose conduct is considered unsafe, disruptive, or inappropriate. No refund shall be provided.
12. Food & Drink
12.1 Food and drink are prohibited within activity areas unless expressly authorised by staff.
12.2 Participants must not consume food or beverages whilst using equipment.
12.3 Damage caused by food, drink, spills, or contamination may result in cleaning, repair, or replacement charges.
12.4 Management reserves the right to refuse participation where alcohol consumption creates a safety concern.
13. Spectators & Non-Participating Guests
13.1 Spectators enter the premises at their own risk.
13.2 Spectators must remain within designated areas.
13.3 Non-participating children must remain supervised by a responsible adult at all times.
13.4 Spectators must not interfere with Activities, Participants, staff, or equipment.
13.5 VR World reserves the right to limit spectator numbers where necessary.
14. Parties, Group Bookings & Corporate Events
14.1 Deposits paid for private events may be non-refundable unless otherwise agreed in writing.
14.2 Final guest numbers must be confirmed no later than seven days before the event.
14.3 Additional participants may incur additional charges.
14.4 Event organisers remain responsible for the conduct of their guests.
15. Memberships & Passes
15.1 Memberships and passes are personal to the registered holder.
15.2 Memberships may not be transferred, shared, resold, or assigned.
15.3 Misuse of memberships may result in suspension or termination without refund.
15.4 VR World reserves the right to amend membership pricing, benefits, attractions, operating hours, and membership structures at any time.
16. Gift Vouchers
16.1 Gift vouchers are non-refundable and cannot be exchanged for cash.
16.2 Lost, stolen, damaged, or expired vouchers may not be replaced.
16.3 Vouchers remain subject to availability and booking requirements.
17. Technical Issues & Service Interruptions
17.1 VR World uses advanced technology that may occasionally experience faults or interruptions.
17.2 Where a session is interrupted by a technical issue, VR World may provide replacement time, credit, rescheduling, a voucher, or a refund at management discretion.
17.3 VR World shall not be liable for travel costs, accommodation costs, loss of earnings, loss of enjoyment, or other indirect losses arising from interruptions or cancellations.
17.4 Attractions may be modified, substituted, or withdrawn without notice.
18. Personal Property & Lost Property
18.1 Personal belongings are brought onto the premises at the owner’s risk.
18.2 VR World accepts no responsibility for loss, theft, or damage unless caused by proven negligence.
18.3 Lost property may be retained for a reasonable period before disposal.
18.4 Costs associated with returning lost property shall be the responsibility of the owner.
19. Photography, Recording & CCTV
19.1 CCTV operates throughout the premises for safety, security, and crime prevention purposes.
19.2 Promotional photography and videography may occur.
19.3 Customers wishing to opt out of promotional media must notify management before participating.
19.4 Commercial filming, content creation, livestreaming, or media activity requires prior written approval.
19.5 Recording other customers without consent may be prohibited.
20. Data Protection
20.1 Personal information will be processed in accordance with applicable UK data protection legislation.
20.2 Information may be used for booking administration, safety, customer service, operational management, and legal compliance.
21. Force Majeure
21.1 VR World shall not be liable for any failure or delay resulting from circumstances beyond its reasonable control.
21.2 This includes power outages, internet failures, software failures, equipment failures, supplier failures, severe weather, flooding, fire, government restrictions, public health emergencies, industrial disputes, terrorism, civil unrest, or other unforeseen events.
21.3 In such circumstances, VR World may postpone, amend, reschedule, or cancel bookings.
22. Chargebacks & Payment Disputes
22.1 Customers agree to contact VR World before initiating a payment dispute or chargeback.
22.2 Where a chargeback is initiated improperly or fraudulently, VR World reserves the right to recover:
- The booking value
- Administrative costs
- Payment processing costs
- Debt recovery costs
- Reasonable legal fees
22.3 Future bookings or memberships may be suspended whilst disputes remain unresolved.
23. Limitation of Liability
23.1 Participation in Activities is subject to the signed waiver and risk acknowledgement.
23.2 Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability which cannot legally be excluded.
23.3 Subject to clause 23.2, VR World shall not be liable for indirect, incidental, consequential, special, or economic losses arising from participation in Activities.
23.4 Subject to clause 23.2, VR World’s total liability arising from any booking, claim, or participation shall not exceed the total amount paid by the customer for the relevant booking.
24. Right to Refuse Access
24.1 VR World reserves the right to refuse admission, participation, or continued use of any Activity for safety, security, operational, behavioural, or suitability reasons.
24.2 Management and authorised staff decisions regarding participation, safety, suitability, and conduct are final.
25. Entire Agreement
25.1 These Terms & Conditions, together with the signed waiver and any safety rules displayed on site, constitute the entire agreement between VR World and the Participant.
25.2 If any provision is found to be unenforceable, the remaining provisions shall remain valid and enforceable.
25.3 Failure by VR World to enforce any provision shall not constitute a waiver of that provision.
26. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales. Any dispute arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
